Ready for e-invoicing: your invoicing before 2030
A PDF sent by email will soon no longer be a valid invoice for business customers in other EU countries, and under the government's plan not within the Netherlands either. Get your invoicing in order now, and 2030 is no rush.
We review your invoicing
From your invoice template to your accounting link: what needs to change for e-invoices.
What an e-invoice is
An e-invoice is a structured file that your customer's accounting system can read automatically, following the European standard for e-invoicing (EN 16931). A PDF, a scan or an invoice in an email is not, even when it is sent digitally.
In the Netherlands and Belgium, e-invoices between businesses usually travel through the Peppol network: your accounting software sends the invoice through a connected provider directly to your customer's software.
When it becomes mandatory
- 1 July 2030: e-invoices and digital reporting for business transactions between EU countries (ViDA)
- 1 July 2030: domestic e-invoicing between businesses in the Netherlands, according to the government's plan of September 2026
- 1 July 2031: domestic digital reporting in the Netherlands, according to the same plan
- According to the announcement, businesses using the Dutch small business scheme (KOR), with turnover of up to € 20,000 a year, remain exempt
The draft bill goes to public consultation this autumn, and the government wants to submit it to the House of Representatives before summer 2027. The exact requirements may therefore still change.
What changes for you
- Your invoicing software must be able to create and send e-invoices, and receive those of your suppliers
- Missing mandatory details, such as the customer's VAT number or Chamber of Commerce (KVK) number, can cause an e-invoice to be rejected
- With digital reporting the Dutch tax authorities see your invoice data per transaction, so errors in rates or reverse charge show up sooner
- Credit notes and corrections also go as e-invoices
Our review
- We look at a sales invoice, a purchase invoice and a credit note
- We check the VAT details: rates, reverse charge, VAT numbers and Chamber of Commerce numbers
- We check whether your software can send and receive e-invoices through Peppol
- You receive a short list of what needs to change before 2030, and in which order
What we do
The review costs € 95 per hour, with an estimate up front; for most small businesses it takes a few hours. If you have a monthly package with us, we include e-invoicing in the annual review of your records.
Frequently asked questions
Is a PDF invoice an e-invoice?
No. An e-invoice is a structured file that can be read automatically. A PDF is an image of an invoice, even when it is sent by email.
Do I have to send e-invoices under the small business scheme (KOR)?
According to the government's announcement, businesses using the KOR, with turnover of up to € 20,000 a year, remain exempt from the domestic obligation. The details follow in the legislation.
What is Peppol?
A European network for exchanging e-invoices. You connect through a provider, often through your accounting software, and can then send e-invoices to and receive them from every business that is also connected.
